What a school CRM is for
Typical jobs:
- Capture enquiries from the website, phone, and walk-ins.
- Assign a counsellor, stage (enquiry, visit, application, offer, enrolled).
- Remind fee and document follow-ups.
- Give the principal a funnel, not a rumour.
It is not automatically an LMS, a timetable engine, or a payroll system. Mixing those in one “education ERP” RFP is how you wait two years for a login screen.
Year-one roadmap
Months 1–2: enquiry form, unique student/family ID, stages, basic reports. Months 3–4: visit scheduling, application checklist, offer letter status. Months 5–6: fee reminders tied to the records you already trust (even if fees stay in Tally at first).
If counsellors will not type, no CRM survives. Design the mobile flow for them, not for the board presentation.
What belongs later
Transport, hostel, library, exam gradebooks, and parent apps. Add them when admissions data is clean. A parent app on dirty data trains parents to call the office anyway.
Data, privacy, and parents
Minors’ data needs a named owner, access logs, and a retention rule. Do not dump enquiry spreadsheets into a consumer AI tool. Role-based access: accounts should not see counsellor notes by default.
How we sequence the build
Discovery with the admissions desk, not only the correspondent. Then a thin CRM, then integrations. We will refuse a “AI chatbot for parents” as phase one if the enquiry pipeline is still a notebook.

Can we use HubSpot or Zoho instead of a custom school CRM?
Often yes for enquiry tracking. Custom work starts when academic year, sibling logic, concession rules, or statutory reports do not fit the SaaS object model.
Should CRM and the student information system be one product?
They should share IDs. They do not have to be one codebase on day one. Many schools keep SIS for academics and CRM for admissions until the join is proven.
How long does a school CRM take?
A usable admissions CRM is typically a few months with a dedicated owner on the school side. Campus-wide ERP is a different programme.
